Confidentiality and Information-Sharing Statement for Staff including Temporary Staff, volunteers, Professional Visitors & Anyone who uses Services that The Berin Centre provides.
The Berin Centre is run and managed by Employment Action Group (Berinsfield) Limited.
Employment Action Group provides a supportive environment for the adults, children, young people and carers who use our services. Any child or adult using Employment Action Group’s services has the right to expect private information they share to remain private. However there will be occasions when this is not possible. If there is a safety issue regarding a child or adult, this may mean information has to be shared in a sensitive and respectful manner.
Employment Action Group follows the agreed Inter-agency procedures of the Oxfordshire Safeguarding Children Board (OSCB). These are regularly updated and can be found on the OSCB website: http://www.oscb.org.uk
Respecting the privacy of our clients, donors, members, staff, volunteers and of Employment Action Group itself is a basic value of the charity. Personal and financial information is confidential and should not be disclosed or discussed with anyone without permission or authorisation from the Board or Manager. Care shall also be taken to ensure that unauthorised individuals do not overhear any discussion of confidential information and that documents containing confidential information are not left in the open or inadvertently shared. Employees, volunteers and board members of Employment Action Group may be exposed to information which is confidential and/or privileged and proprietary in nature. It is the policy of Employment Action Group that such information must be kept confidential both during and after employment or volunteer service. Staff and volunteers, including board members, are expected to return materials containing privileged or confidential information at the time of separation from employment, volunteering or expiration of service.
Professional visitors to Employment Action Group (e.g. contractors, interns) must observe the following guidelines:
- Visitors must respect the privacy of service users, volunteers and staff.
- All personal information must be passed to a member of Employment Action Group staff to be stored confidentially & securely in line with Employment Action Group Data and Information Policies and Procedures.
- Don’t ask for personal information from users unless there is a clear reason to do so.
- Personal information about service users and staff should not be shared with people outside Employment Action Group unless you have concerns that a child or adult is at risk. This guideline applies to many situations including telephone enquiries, discussions with your own friends and families and discussions with staff.
- It is often not necessary for confidential staff or user information given to one person to be shared with the rest of the team. Where the issues relates to family support needs you must first get the individual’s agreement to share this information with the Manager who will then advise about ways in which Employment Action Group or other agencies can provide support.
- However, if you are told something or observe behaviour that gives rise to concern about the safety of a child or adult then this should be raised immediately with one of the managers who will follow the Employment Action Group Safeguarding Policies and Procedures. This also covers situations where a third party or agency needs to be contacted if it is felt an individual poses a threat to others.
Employment Action Group expects all visitors to maintain confidentiality and security of information and to take all necessary steps to ensure this.
